How to recover data from an external hard drive.

Recovering data from an external hard drive is very doable — if you go about it in the right order. Rush in with the wrong tool and you can turn a simple fix into a lost drive; work through it methodically and you’ll either get the files back yourself or know exactly when to hand it over. Here’s the step-by-step, from the first safe check to the point a lab takes over.

The question that sets your route.

Everything hinges on this. A logical fault means the drive still works — it powers up, is recognised, spins quietly — but the files are missing, the drive shows as RAW, or it asks to be formatted. A physical fault means the hardware has failed: the drive clicks or beeps, won’t spin, isn’t detected at all, or was dropped or got wet. The two need opposite approaches, so listen and look before you act. If the drive is making any unusual noise, treat it as physical and skip straight to the lab section — don’t run software on it.

Software, done safely.

If the drive is physically healthy and the problem is logical, you can often recover it yourself. First, the simple checks: try a different cable, port and computer, and open Disk Management (Windows) or Disk Utility (Mac) — if the drive shows there with no drive letter, just assigning one can bring it straight back. If it shows as RAW or unallocated, don’t format or initialise it; that’s recoverable partition damage. For deleted files or a corrupt file system, recovery software will scan the drive and restore files — to a separate destination drive. When it’s a lab job.

If the drive is clicking, silent, undetected, or has been dropped or flooded, no software can help — the hardware needs repair before the data can be read, and every extra power-on risks making it worse. This is the point to stop and send it in. In a controlled environment, the drive is repaired just enough to read — failed heads or a dead board fixed with matched donor parts — then imaged read-only, so your files are rebuilt from a copy and the original is never stressed further. It’s the same careful process as recovering any failed drive that won’t show up, and a single external drive is from £300 +VAT.

Send the drive, or the whole unit?

One thing unique to external drives: the enclosure. For most, the drive inside is a standard disk, and if you’re sending it for recovery you can take the drive out and send just the drive. The exception is encrypted models — many external drives encrypt data in the enclosure’s bridge chip, so the bare drive would be unreadable on its own. If yours is (or might be) encrypted, send the whole unit so the data can be decrypted in its original hardware. If you’re unsure, sending the complete drive is always the safe choice, and we’ll do the rest.
