“Permanently deleted” sounds final — you emptied the Recycle Bin, or held Shift while deleting — but it rarely means the file is actually gone. Until something writes over it, the data is usually still on the drive, waiting. Here’s where a permanently deleted file really goes, how to get it back on Windows and Mac, and the one rule that decides whether you can.
Deleting a file and emptying the bin removes it from view and frees its space, but doesn’t scrub the data. On a hard drive it sits there until overwritten — which is exactly why speed, and not writing to the drive, matters most.
When you delete a file and empty the Recycle Bin (or use Shift+Delete to skip it), Windows or macOS simply removes the file’s entry from the index and marks its space as available for reuse. The actual contents stay physically on the drive until new data happens to be written over them. That’s why recovery is possible at all — and why it’s a race. The file is recoverable in the gap between “deleted” and “overwritten”, and how long that gap lasts depends entirely on how much the drive is used afterwards. On a busy system drive it might be minutes; on a rarely touched external, months.
Before recovery software, rule out the copies that may already exist — they’re faster and safer. On Windows, check whether File History or a Windows backup has the file, and right-click the folder it lived in for “Restore previous versions”. On a Mac, Time Machine keeps versions you can step back through. And on both, cloud services — OneDrive, iCloud Drive, Google Drive, Dropbox — often keep deleted files in an online bin or version history for weeks after you remove them locally. If any of these has your file, you’re done without touching recovery tools at all.
If there’s no backup and the file lived on a mechanical hard drive, recovery software has a good chance. Free tools like Recuva, PhotoRec or Windows File Recovery scan the drive, rebuild a list of what’s recoverable, and restore it — and our guide to the free options covers which does what. The unbreakable rule is to install the tool on, and recover files to, a different drive than the one you’re rescuing — recovering to the same drive can overwrite the very files you’re after. An external disk or USB stick as the destination is ideal.
There’s one big exception: SSDs. Because of TRIM, an SSD physically erases the blocks behind a deleted file in the background, often within minutes — so permanently deleted files on an SSD frequently can’t be recovered by software at all, unlike on a hard drive. And if the drive itself is failing rather than the file simply being deleted — it’s clicking, not showing up, or throwing errors — software is the wrong tool, and running it can make things worse.
